Refund and Returns Policy – Pixel Cloud Media
At Pixel Cloud Media, we are committed to delivering high-quality web design, development, and digital solutions that meet the specific needs and expectations of our clients. To ensure transparency and clear communication, we have outlined our Refund and Returns Policy below. Please read through the following details carefully to understand our terms and conditions.
1. No Refunds on Completed Websites
Once a website design and development project has been completed and delivered to the client, we do not offer refunds. This is due to the fact that our services are tailored to each client, and we maintain consistent communication throughout the entire project. We involve our clients at every step of the process, ensuring that their feedback and approval are gathered before proceeding to the next stage.
Our process includes:
- Initial Consultation & Proposal: We work closely with you to understand your goals, vision, and requirements for your website.
- Design & Development: We keep you updated with design mockups, wireframes, and prototypes for review and approval.
- Client Feedback & Adjustments: We implement feedback and revisions during the design and development phases to ensure the website aligns with your expectations.
- Final Delivery: Once the website is completed and you have given final approval, the website is delivered and published.
Because of this continuous collaboration, our clients are fully aware of the progress, direction, and final product before completion. Once the final website is approved and launched, the project is considered complete, and no refunds will be issued.
2. Minor Revisions and Changes After Delivery
We offer a 30-day revision period from the delivery date of the website. During this period, you may request minor revisions and adjustments to the website. This includes:
- Text changes: Updating content on pages.
- Image adjustments: Changing or replacing images on the website.
- Layout modifications: Small changes to the layout or structure of the content (e.g., moving text blocks, adjusting column widths).
- Minor styling tweaks: Color adjustments, font size, and alignment changes.
The 30-day period starts from the official website delivery date, and revisions must be requested within this timeframe. These revisions are typically small changes that don’t require significant development or new functionality.
Please Note:
- No Refunds for Completed Work: After the 30-day revision period, the project is considered finalized, and no further revisions or refunds will be provided.
- Exclusions: Requests for new features, functionality changes, or plugin additions are not covered under the minor revision period and will be treated as new work, subject to separate fees and timelines.
3. New Features, Functions, or Plugins
Our 30-day revision period is specifically for minor adjustments. If you wish to add new features, functions, or plugins to your website after delivery, these are considered out-of-scope and will be treated as a separate project.
Examples of new work that fall outside the scope of minor revisions include:
- Adding e-commerce functionality (e.g., setting up online store, payment gateway integration).
- Implementing new interactive features (e.g., booking systems, chatbots, custom forms).
- Adding new third-party integrations (e.g., CRM systems, email marketing platforms, external APIs).
- Design Overhauls: Major design or structural changes that significantly alter the user experience.
If you wish to proceed with any of these changes, Pixel Cloud Media will provide you with a new project proposal, detailing the scope, timeline, and cost for the additional work.
4. Revision Requests and Approvals
During the website development process, we prioritize communication with our clients to ensure satisfaction at each stage. After each phase (design, development, and testing), you will have the opportunity to review the work, provide feedback, and approve the next step. This iterative approach ensures that the final product is aligned with your vision.
- Client Approval at Every Stage: We will seek approval from you before proceeding to the next stage of development (e.g., after design mockups, after content integration, after functionality implementation).
- Feedback and Revisions: If any changes are needed at each stage, we will make the necessary revisions to ensure the project meets your expectations.
It is essential that clients actively participate in the review process to avoid misunderstandings or issues once the website is delivered.
5. Additional Charges for Out-of-Scope Work
As previously mentioned, any requests for new features or functions beyond the initial scope of the website will be treated as new projects. This will incur additional charges, and a separate agreement will be created to cover the new work.
Additional charges may include, but are not limited to:
- New feature development (e.g., booking systems, custom forms).
- Advanced integrations (e.g., CRM, third-party plugins).
- Complex design adjustments or overhauls.
We will provide you with an estimate of the costs involved before proceeding with any out-of-scope work.
6. Refunds for Hosting or Maintenance Services
Pixel Cloud Media may offer ongoing hosting or maintenance services. Please note that:
- Hosting Fees: These are non-refundable once the service has been provided.
- Maintenance Plans: Monthly or annual maintenance fees are billed in advance and are non-refundable after the service has been rendered for the given billing cycle.
If you choose to cancel a maintenance plan or hosting service, we can stop further billing at the end of the current cycle but will not issue refunds for services already provided.
7. Cancellations During Development
If you decide to cancel the project after work has started but before completion, we will invoice for the work completed up to that point. Pixel Cloud Media will retain any deposits or prepayments made as compensation for work already performed. Once the project is started, we do not offer refunds for services rendered or time spent.
- Deposit Retention: Any initial deposits or prepayments are non-refundable and will be retained to cover our costs for the work completed before cancellation.
8. Conclusion

We believe in clear communication, transparent pricing, and ensuring that clients are satisfied throughout the project.
